To provide a professional and effective senior administrative service organising both National and Local, Royal College and Trust Training Courses, for Gloucestershire Hospitals NHS Foundation Trust Staff, along with NHS Staff country-wide.
To provide clerical and administrative support to the Post-Graduate Medical Education Team, to ensure the smooth running of the department, whilst taking the Procurement Lead for Post-Medical Education with the Trust P2P requisitioning system.
Main duties of the job
To gain an in-depth knowledge of National and Local course content/materials to ensure these are delivered to the standards required by relevant authorities.
Undertaking administrative and clerical duties necessary for the smooth running of the department.
To communicate effectively, in an administrative capacity, with a wide range of professionals at all levels, within and outside of the Trust.
To have a knowledge and understanding of all roles within the Medical Education Team to ensure cover during holiday/sickness.
To comply with Trust and Departmental policies and procedures and work towards the Trust Objectives.
Responsible for ordering catering/refreshments for fee-paying courses/examinations.
Organise, reporting to the Consultant Lead, Local and Nationally accredited Medical Courses - producing registers, certificates, and organising and managing the end of course examinations, and any re-tests that may be required.
Book and list on P2P for payment, hotel accommodation for delegates as requested – invoices then to be checked and processed for payment.

Detailed job description and main responsibilities
Organise, reporting to the Consultant Lead, Local and Nationally accredited Medical Courses - producing registers, certificates, and organising and managing the end of course examinations, and any re-tests that may be required
The Course Coordinator will have prime responsibility for all pre-course planning and post-course summation. This includes identification of course directors, faculty selection, budget preparations, advertising, organising overnight and course accommodation, course preparation, course material, faculty meeting, marking MCQ papers, obtaining actors and moulage support, course conduct and course reporting.
Attend each course to ensure smooth running of each event, whilst gaining an in-depth knowledge of National and Local course content/materials to ensure these are delivered to the standards required by relevant National Authorities.
Knowledge, Skills, Experience
- • NVQ 3 Office Administration or equivalent experience
- • English Language and Mathematics GCSE or equivalent grade C or above
- • Experience in using a variety of software packages, including Microsoft Word, Outlook, Excel, PowerPoint and Access to produce correspondence and documents and maintain presentations, records, spreadsheets and databases.
- • Excellent keyboard skills
- • Excellent organisation skills, a methodical approach and strict attention to detail
- • Ability to prioritise workload, and to work with minimum supervision
